This notice explains how HouseholdSure SA complies with the Protection of Personal Information Act, 2013 (POPIA) and your rights as a data subject under South African law.

HouseholdSure SA adheres to all eight POPIA principles:

We take responsibility for protecting your personal information and have implemented policies, procedures, and technical safeguards to ensure compliance.

We process personal information only for lawful purposes related to providing the HouseholdSure SA platform and services.

  • Contractual necessity: To fulfill our membership agreement with you

  • Legitimate interests: For security, fraud prevention, and service improvement

We do not process personal information excessively or for purposes unrelated to the Platform.

2.3 Purpose Specification

We collect personal information for specific, explicitly defined, and lawful purposes:

  • Provide Platform access and functionality
  • Manage employment contracts and UIF administration
  • Process membership payments
  • Route support tickets to partners
  • Send transactional communications

3.2 Categories of Personal Information

4. Who We Share Information With

We share personal information only when necessary:

4.1 Data Processors (Service Providers)

  • Hosting and infrastructure providers
  • Payment gateway (Paystack)
  • Communication services (email, SMS, WhatsApp)
  • Analytics and monitoring tools

All processors are contractually bound to protect your information and use it only for specified purposes.

4.2 Partner Organizations

When you assign a support ticket to a partner, we share relevant case information with that partner. Partners must comply with POPIA and confidentiality agreements.

4.3 Legal Authorities

We may disclose information when required by law (court orders, subpoenas, government requests).

4.4 Cross-Border Transfers

We do not transfer personal information outside South Africa without:

  • Your explicit consent

5. Consent and Withdrawal

5.1 How We Obtain Consent

Note: Withdrawing consent may limit Platform functionality or require account closure.

6. Data Retention and Deletion

6.1 Retention Periods

  • Active accounts: Data retained while account is active
  • Financial records: 7 years (South African tax law requirement)
  • Employment records: Indefinitely (for legal and regulatory purposes)
  • Support tickets: 5 years
  • Audit logs: 3 years
  • Marketing data: Until you opt out (suppression record kept permanently)

6.2 Deletion Requests

You may request deletion by contacting info@householdsuresa.co.za. We will:

  1. Verify your identity
  2. Delete personal information where legally permissible
  3. Retain information required by law or legitimate business needs
  4. Confirm deletion within 30 days
Operational records: We do not delete member, worker, UIF, or contract records that may be required for legal or regulatory compliance.

7. Data Breach Notification

In the event of a data breach that poses a risk to your rights and freedoms, we will:

  1. Notify the Information Regulator within 72 hours of becoming aware
  2. Notify affected data subjects without undue delay if high risk
  3. Provide clear information about the breach, its impact, and remedial actions

We maintain an incident response plan and conduct regular security drills.

8. Children's Privacy

The Platform is not intended for children under 18. We do not knowingly collect personal information from children. If we discover that a child has provided information, we will delete it promptly and notify the parent or guardian where possible.

9. Direct Marketing

We send marketing communications only with your consent. You may opt out at any time.

Transactional emails (password resets, payment confirmations) are not marketing and cannot be disabled.

10. Automated Decision-Making

We do not use automated decision-making or profiling that significantly affects data subjects without human oversight.

Example: Fraud detection systems may flag suspicious activity, but account suspension decisions are reviewed by staff.
